Project Manager – CA

Job Summary:

Responsible for the successful coordination and management of projects from turnover to close out

Principal Responsibilities:

Participate in job turn-over

  • Review scope within determined deadline
  • Review Union requirements, prevailing wage, insurance program, bonding, length of warranties, drug testing, safety requirements
  • Review job specifications
  • Verify and confirm approved manufacturers, material finishes, design criteria and performance requirements
  • Visit jobsite for evaluation (determine conditions & logistics for deliveries and installation)
  • Attend pre-construction meetings
  • Review and understand contract

Prepare for project

  • Verify & decide on systems/materials and get an approval from management as needed
  • Consult with Superintendent to understand difficulty of installation
  • Provide CAD department with all information needed to identify floor plans, elevations, details, etc.
  • Bring discrepancies from estimate to attention of department manager and estimator
  • Plan for and solve problems (potential issues with estimate)

Manage project

  • Prepare schedule on Microsoft Project as needed
  • Confirm that submittals are prepared and a log is maintained
  • Plan for (materials, shop fabrication, field labor, etc.) lead times
  • Communicate with contractor on any issues regarding lead time, required deposits
  • Confirm schedule with Contractor
  • Confirm RFIs are properly submitted to customer & log is maintained
  • Supply Superintendent and Foreman with budgeted labor hours for labor tracking
  • Keep all e-mails pertaining to a job in a separate Outlook folder
  • Place material orders (request warranty with PO, include specifications with PO, monitor and follow up on delivery dates, make sure materials are checked within 24 hours, notify vendor of problems immediately, handle replacement process)
  • Quote and negotiate profitable change orders (make sure additional time requirements are included, make sure all cost codes are checked to make sure nothing is missed)
  • Manage budget related to travel, parking, housing and per-diem
  • Conduct job site visits regularly (perform quality control, check problems with vendors, photograph the process with a date stamp, confirm installation progress)
  • Make sure installation is per manufacturer’s approved drawings
  • Keep Superintendent and Foreman informed of job status
  • Make sure all conversations are documented (particularly delays)
  • Review sensitive communications with department manager
  • Make sure Daily Reports are filled out and filed

Completion of Project

  • Provide Contract Administration with all information
  • Oversee close out process
  • Inform Contract Administration of last day on site
  • Cooperate in watching for final payment and deadline to file mechanic’s lien

General tasks

  • Prepare reports on job progress twice a month
  • Attend monthly Project Manager’s meeting
  • Establish and maintain good relationships with customers and vendors
  • Coordinate in-house project team responsibilities
  • Manage budget for meals and events
  • Liaison between estimator and project manager from project turnover to submittals to job completion.
  • Develop project objectives by reviewing project proposals and plans, conferring with project management.
  • Keep accurate notes, records, sketches, reports to describe and verify the planned work that will be incorporated in the project record documents.
  • Create and track RFI logs, submittal logs, and Procurement logs.
  • Create, update and maintain submittal library, MSDS, certifications, installation instructions, O&M manuals, LEED data.
  • Assist Operations in tracking Service work to include Purchase Orders, Invoicing and collections.
  • Track weekly shop/field labor hours for all projects.
  • Assist Operations with monthly cost projections.

Education:

  • Minimum Undergraduate Degree in Business Administration or extensive equivalent courses
  • Extensive experience in all aspects of the glazing industry

Salary Range: $86k – $138k annual
